Abstract
OBJECTIVE This study aimed to investigate and explore Occupational Health and Safety (OHS) management, office ergonomics, and musculoskeletal symptoms in a group of office workers relocating from cell offices to activity-based flex offices (AFOs). METHODS The analysis was based on qualitative interview data with 77 employees and longitudinal questionnaire data from 152 employees. RESULTS Results indicate that there was a need to clarify roles and processes related to the management of OHS. Self-rated sit comfort, working posture, and availability of daylight deteriorated and symptoms in neck and shoulders increased after the relocation and seemed to be influenced by many factors, such as difficulties adjusting the workstations, the availability of suitable workplaces, and age, sex, and individual needs. CONCLUSION Research on the long-term effects of physical work environments and management of (OHS) issues after implementing activity-based flex offices is sparse. This study demonstrates the importance of planning and organising OHS issue management when implementing an AFO, and to carefully implement office ergonomics among office workers.

Abstract
Little is known about the factors that explain the differences in the ways that individuals use activity-based offices (ABOs). This study aimed to investigate whether person-related and situational factors are associated with self-reported use of workspaces and the perceived person-environment (P-E) fit in ABOs, independently of the job profile. Survey data were gathered in one organisation (N = 332) 7-11 months after an office re-design. Younger age, male gender, managerial position, and better work ability were associated with more frequent use of different workspaces. Workspace switching was perceived as more time-consuming by employees who worked at the office less, had a high workload, and were dissatisfied with ergonomics. All variables except gender were associated with the P-E fit. Person-related and situational factors appear relevant to workspace use and P-E fit, independently of job contents. Contextual, cultural, and office design differences should be considered when generalising these results.Practitioner summary: This case study investigated individual differences in how activity-based offices are used. Being younger, male, a manager, or having good work ability were associated with using workspaces more actively. Abstract
Purpose
Journal of Corporate Real Estate (JCRE) is an international journal of repute. JCRE is an interdisciplinary journal focusing on corporate real estate management and caters to the needs of real estate owners and end-users. The journal's scope includes private and public sector corporate real estate owned and used by businesses to run their operations. This paper aims to analyze the journal's impact using bibliometric analysis from 1998 to 2017 on 380 publications.
Design/methodology/approach
The network analysis is performed using VOSviewer software and Biblioshiny R studio. The mapping presents citation structures, coauthorship patterns, bibliographic coupling and other network analyses.
Findings
The results show that the journal is growing in terms of citations and impact. The findings document various mapping criteria and their summaries. Seven major clusters are identified to delineate the underlying themes of publications in JCRE.
Originality/value
To the best of the authors’ knowledge, this paper offers the original and first bibliometric analysis of the journal’s impact over the first two decades. The findings are relevant for researchers and real estate stakeholders.

Abstract
Purpose
The aim of this study is to investigate whether activity-based workspaces (ABWs) are able to solve the privacy-communication trade-off known from fixed-desk offices. In fixed-desk offices, employees work in private or open-plan offices (or in combi-offices) with fixed workstations, which support either privacy or communication, respectively. However, both dimensions are essential to effective employee performance, which creates the dilemma known as the privacy-communication trade-off. In activity-based workspaces, flexible workstations and the availability of different spaces may solve this dilemma, but clear empirical evidence on the matter is unavailable.
Design/methodology/approach
To address this knowledge gap, the authors surveyed knowledge workers (N = 363) at a medium-sized German company at three time points (T1–T3) over a one-year period during the company’s move from a fixed-desk combi-office (a combination of private and open-plan offices with fixed workplaces) to an ABW. Using a quantitative survey, the authors evaluated the employees’ perceived privacy and perceived communication in the old (T1) and the new work environments (T2 and T3).
Findings
The longitudinal study revealed a significant increase in employees’ perceived privacy and perceived communication in the ABW. These increases remained stable in the long term, which implies that ABWs have a lasting positive impact on employees.
Originality/value
As the privacy and communication dimensions were previously considered mutually exclusive in a single workplace, the results confirm that ABWs can balance privacy and communication, providing optimal conditions for enhanced employee performance.

Abstract
Relocation to new office solutions such as activity-based workplaces (ABW) has increased but satisfaction with the ABW among employees varies, and the importance of participation in the relocation process is unclear. This study aimed to examine the association between employees' extent of participation in the implementation process activities and satisfaction with the relocation to ABW. Data were collected from 699 employees in a Swedish governmental agency 3-months prior to, 3-months and 9-months after relocation to the ABW. Questionnaires were used to assess participation in process activities and perceived satisfaction with knowledge about working in ABW, office rules, and information and support during the process. Participation in activities was significantly associated with higher overall satisfaction with knowledge, office rules, information and support, and effects were generally more pronounced as the number of attended activities increased. Satisfaction also increased among non-participants, although without reaching the same levels as participants. Our results show the importance to offer and facilitate a high participation in the relocation process activities to obtain satisfaction with a relocation to ABW.

Abstract
The aim of this research was to evaluate how the quality interior design aspects of the staff office spaces at the Girls’ College of Science and Arts, King Khalid University, Saudi Arabia, affect their happiness, comfort and performance of their duties, and also proposes a solution based on the sciences of the relationship between happiness and interior design. The aim was achieved by carrying out a survey on staff of the college. The participants were selected using a combination of probabilistic and random sampling. The research found that a good number of staff at the college are not happy with their work environments. Further analysis indicated that interior design deficiency is a major cause of unhappiness of staff at the college. The results showed that this may be attributed to three important aspects of quality interior space furniture: insufficiency of furniture and other workspace items; lack of aesthetics, functionality, comfort, color and materials (low quality materials) of furniture and other workspace items; and a lack of sufficient natural lighting being another major issue affecting the quality of natural and artificial lighting in some offices at the college. Participants were also not comfortable with some materials used in the interior space. The study recommends that office spaces should be redesigned to meet the following interior design criteria: appropriateness for the workplace (size, lighting and materials); color and decorations (non-dark colors); and appropriate accessories and tools of work.

ZusammenfassungDer vorliegende Beitrag in der Zeitschrift Gruppe. Interaktion. Organisation (GIO) beschäftigt sich mit der Entstehung hybrider Arbeitsumgebungen für Wissensarbeiter. Durch die Covid19-Pandemie zeichnet sich zukünftig eine Koexistenz des Arbeitens im Büro und aus dem Homeoffice ab. Durch dieses hybride Arbeiten entstehen drei Herausforderungen für Unternehmen: eine veränderte Rolle des Bürogebäudes, veränderte Bedürfnisse der Nutzer des Büros und sich verändernde Arbeitsaktivitäten, die die kontinuierliche Anpassung von Arbeitsumgebungen notwendig machen. Dieser Beitrag beschreibt die Gestaltung einer New Work-Arbeitsumgebung anhand eines Fallbeispiels, welches diesen drei Herausforderungen begegnet. Diese werden jeweils vor dem Hintergrund bestehender wissenschafticher Erkenntnisse diskutiert. Es zeichnet sich ab, dass physische Büroumgebungen für hybrid arbeitende Mitarbeitende als Ort für Interaktion, Kollaboration und Unternehmenskultur eine zentrale Rolle spielen. Weiterhin werden Gestaltungsoptionen für Nutzerzentrierung und Partizipation in der Entstehungsphase sowie für eine kontinuierliche Anpassung im Regelbetrieb der Büroräume beschrieben. Der vorliegende Beitrag bereichert die bestehenden Erkenntnisse zur Auswirkung von Arbeitsumgebungen um einen tieferen Blick auf den Entstehungsprozess als solchem und bietet Organisationen Impulse zur Gestaltung hybrider Arbeitsumgebungen.

Abstract
Purpose
This paper aims to build on the presumption that defining the spatial solution of the activity-based office environment through user-centred interdisciplinary dialog would strengthen understanding of interdependencies between the environment and the worker. Secondly, this presumption also contributes to the idea that the shared and clarified concepts of a spatial solution through location-specific structuring, would support the research outcomes in being communicated to the design practice, and further improve the work environment design in the future. Thirdly, this supposition is that understanding, documenting and communicating of the interdependencies between the environment and the worker would contribute to increased interdisciplinary understanding, ultimately benefitting the end-user, the worker.
Design/methodology/approach
The driver of this conceptual paper is to encourage understanding across disciplinary boundaries and communication of work environment research results for implementation in design practice. The authors introduce an ecosystem-based approach to discuss the spatial solutions of activity-based office work environments. This approach is motivated by a need to understand the contradictory findings in former knowledge work environment research, such as ambiguities with shared concepts concerning interdisciplinary spatial discourse and shortcomings with user-centred methodologies in architectural design research. The transdisciplinarity forms the methodological framework of this paper, and it is reflected in relation to the design research approach Research by Design (RbD). RbD considers the professional designer’s viewpoint, which includes creative knowledge production, carrying out the operations of research in a real-life context with interdisciplinary interactions together with the worker’s user-experience.
Findings
The research outcome is the proposal of an activity-based office ecosystem-based approach, in which the physical environment is structured into two entities: architectural envelope and interior orchestration. In this twofold approach, both qualitative and quantitative contents are meant to be seen as part of the time-location-based framework of an office space. This integrative approach is intended to support the process of searching for understanding and unity of knowledge across disciplinary boundaries. The twofold structuring also has an essential role in supporting methodological choices and the communication of the research outcomes both between disciplines and to design practice. The twofold model also has a role in engaging users as participants and evidence providers in the design or research processes.
Originality/value
The location-specific ecosystem-based approach of the physical work environment compiles of a twofold entity architectural envelope and interior orchestration. This approach supports affordance-based thinking, understanding the ecosystem’s complexity and underpins spatial documentation. Furthermore, this location-specific ecosystem-based approach enables communication of the research outcomes to the design practice and participation actions with the users.

Abstract
Purpose
This paper aims to compare employee well-being, information flow and relationships with co-workers and supervisors for people working at home and working in different office types before and during the COVID-19 pandemic.
Design/methodology/approach
A nationwide study of 2,845 Estonian office workers in autumn 2019 and 2,972 in spring 2020 was carried out.
Findings
It was discovered that in normal circumstances, people at home had similar results to those in a cell office or activity-based office. Open-plan offices were found to be the worst in respect to the facets of work studied. However, in the context of the pandemic, the playing field became more level in some respects and worse in the case of activity-based offices.
Practical implications
When telework is well arranged both in terms of facilities and organising the necessary communication and information flow, then it is a viable alternative to working in an office. What is more, employers need to pay more attention to the physical and social work conditions in open-plan offices and also activity-based offices in the context of a pandemic.
Originality/value
Previous studies have only compared telework with working in an office in general. Comparing working at home with different kinds of offices gives valuable insights.

Abstract
Purpose
This study aims to find ways to bridge the gap between workplace design and research. Exploring the design process from general design aims to site-specific design makes the process visible to support workplace design research.
Design/methodology/approach
Participatory design methods were used to understand employees’ needs and preferences in work-related situations to support the design process. The design process was divided into three phases. The office was temporarily refurbished for the intervention study, and evaluation data was collected with qualitative methods.
Findings
Participatory design-generated data revealed typical knowledge work needs, such as the need for privacy, interaction, exposure and preferences for the atmosphere in the workspaces during different situations. The authors identified the following key points to obtain design data: design aims, affordance design and site-specific multidimensional design. An intervention study in a small organisation revealed that lack of activity-supporting spaces created undesirable overlaps for focused work, collaborative work and client communication.
Research limitations/implications
The findings of this paper are explorative and limited to a small knowledge work company. The present approach identifies valuable data collection points in different design phases of workplace design processes. Sharing knowledge from practice to research and vice versa could inform research and improve workplace design.
Originality/value
This study makes the workplace design phases more visible. It supports finding new ways to study the connection between the user-needs and workplaces; and understanding how different design solutions impact workplace experiences, such as satisfaction. This study also brings focus to understanding the versatile needs of small organisations and their workplace design.

Abstract
Purpose
The purpose of this paper is to map and describe findings from research conducted in workspaces designed to support activity-based working (ABW) over the past 10 years (2010–2020) with a view of informing post-COVID workplaces of the positive and negative attributes of ABW.
Design/methodology/approach
Scopus was used as the search engine for this review. Papers which reported findings related to ABW and performed field study in ABW workspaces with adult occupants were included. Out of the 442 initial papers, 40 papers were included following iterative title and abstract and full text review process and consideration of inclusion and exclusion criteria. These papers were divided into three groupings (organizational, human and physical environment) based on their major focus. Positive and negative effects of ABW environments on occupants are discussed within these three topics in consideration of the implications for the post-COVID workplace.
Findings
Although the included studies were inclined to be either more positive (i.e. interior design) or negative (i.e. indoor environmental quality, productivity, distraction and privacy) in relation to various attributes of ABW, no single effect of ABW environments on occupants was in full agreement between the studies. The shortcomings of ABW environments are more related to how this way of working is implemented and how occupants use it, rather than the concept itself. A partial uptake of ABW leads to occupants’ dissatisfaction, lower productivity and lower well-being, while a holistic approach increases the chance of success. It is hypothesised that many currently reported negative aspects of the ABW concept might diminish overtime as ABW evolves and as new challenges arise. A continuous post-occupancy evaluation after relocation to an ABW-supportive environment can inform the organization about the changing needs and preference of the occupants; hence, the organization can tailor the ABW solution to the arising needs. The inter-connection between the three key ABW pillars (organizational, human and physical environment) is crucial to the success of this concept specifically in the context of the post-COVID-19 workplace.
Originality/value
This paper highlights the key shortcomings and limitations of studies produced over the past decade and identifies keys gaps in the current body of literature. It provides a new insight on how findings related to open-plan offices designed to support ABW can be categorized on the three big heading of organizational, physical and human-related aspects, and further investigates the positive and negatives outcomes reported on ABW under these headings. It also discusses how the findings arising from this literature review can inform the post-COVID workplace.

Abstract
A key to the development of more effective interventions to promote movement and reduce physical inactivity in office workplaces may be to measure and locate individual's spatial movement. Using an activity space estimation method, high resolution location data collected from 15 office workers over 12 days were used to estimate and analyse the location and extent of their daily spatial movement whilst in an office work-based setting. The results indicated that the method, kernel density estimation, combined with location data offers significant opportunities to not only measure and compare spatial movement behaviours but also simultaneously identify the locations where the behaviours occur. Combined with other data streams, this method will allow researchers to further investigate the influence of different environmental characteristics on these behaviours, potentially leading the development of more effective, longer lasting interventions to promote movement and reduce stationary behaviour, ultimately improving the health of office workers.

Abstract
This study investigated the current design circumstances of an office as well as employees’ perceptions of the office environment in relation to their perceived health, drawing on sense of coherence theory (comprehensibility, manageability, and meaningfulness). Previous studies have related the physical office environment to employee health. However, most studies have focused on alleviating negative effects, while health-promoting potential, including employee sense of coherence, has been overlooked. This study adopted a mixed method case study approach, combining semi-structured interviews with employees, structured observations, and analysis of architectural drawings. The results indicated that employees’ perceptions did not always align with the ideas behind the architectural design and that employees understood the environment differently. The study also highlighted the interrelations (and contradictions) among the different components of sense of coherence. The findings imply that organizations may need to prioritize which components of coherence should be supported most by the office environment. It also suggests that case-specific design aspects should play a more central role in studying and conceptualizing healthy office design and that design solutions should be continuously modified during the use phase, while ensuring employees’ participation. The study concluded that an ‘ideal’ office environment should not be the goal. Instead, office design should provide an environment in which employees are able to cope with challenges in comprehensible, manageable and meaningful ways.

Abstract
Most work on activity-based working centers on the physical environment and digital technologies enabling flexible working. While important, we believe the key components for implementing activity-based working are employee and manager behaviors. To measure the degree of enactment of activity-based work, based on workshops with experienced practitioners as well as previous literature, we have developed and validated a behavior-focused measure of activity-based working behaviors. In our initial sample (Sample 1, N = 234), three subscales were identified: task – environment crafting, workday planning, and social needs prioritization. In the replication sample (Sample 2, N = 434), this model also showed adequate fit. Moreover, task – environment crafting was related to general health and lower stress in sample 1 (multi-organization sample), but not in the single-organization sample (sample 2). Workday planning was associated with higher concentration in both samples and in the second sample with general health and work engagement; the latter was also related to social needs prioritization.

Abstract
Activity-based workplaces (ABW) have been implemented in many organizations to offer office flexibility and decrease facility costs. Evaluations of the ABW implementation process are rare. The study aimed to examine the ABW relocation process of two offices in a Swedish governmental agency and to explore factors that influence the implementation process and satisfaction with it. Qualitative or quantitative data were collected on process variables (context, recruitment, reach, dose delivered, dose received, satisfaction), barriers and facilitators to the process were explored in focus group interviews, and immediate outcomes (perceived knowledge, understanding office rules, satisfying information and support) were measured by questionnaire before and after the relocation. The evaluation showed that recruitment was unsatisfactory and reach insufficient—and participation in activities was thus low for both offices. However, intended changes improved. Unclear aims of ABW, lack of manager support and, lack of communication were some of the reported barriers to participation, while a well-planned process, work groups, and program activities were facilitators. Thus, to increase satisfaction with the relocation, our results suggest that recruitment should be thoroughly planned, taking these factors into account to increase participation. This knowledge may be useful for planning and designing successful ABW relocations and evaluations.

Abstract
Purpose
A tendency that employees do not frequently switch between different activity settings was reported in previous studies, which are opposed to underlying assumptions of activity-based working (ABW) offices. Although ABW is increasingly becoming a standard office concept, employees’ switching behaviour has not been studied in depth. This study aims to understand employees’ switching behaviour by identifying reasons (not) to switch and various influencing factors of switching behaviour.
Design/methodology/approach
An online survey was conducted across Switzerland and Belgium, and 124 respondents participated in the questionnaire. The mismatch model was developed to examine whether the misfit between either activity or preference and work environment leads to switching to another place in the office.
Findings
Results show that most of the respondents switch multiple times a day, which runs counter to the previous studies. Furthermore, this study presented clear evidence that mandatory switching frequency is independent of various factors presented in the study, indicating that the distinction between mandatory and voluntary switching is valid. Besides, results identified privacy, acoustics, distraction, proximity to team/colleagues as reasons to switch and as reasons not to switch, place preference/attachment, proximity to the team were determined.
Originality/value
This study contributed to better understanding switching behaviour by defining, distinguishing switching behaviour, identifying reasons (not) to switch and influencing factors of switching frequency. In addition, this study compared the misfit between activity and environment and the misfit between preference and environment as push factors leading to switching behaviour. These findings can provide more knowledge of switching behaviour to workplace or facility management practitioners.

Purpose
The purpose of this study is to investigate the effects of the activity-based workspace (ABW) on employee belonging. Place attachment theory (PAT) is used as a proxy to understand and measure the belongingness of employees to their physical workplaces.
Design/methodology/approach
A case study of a bank’s newly retrofitted ABW office is conducted, providing fresh perspectives on the effect of ABW on employee belonging. A questionnaire survey was used to understand employee belongingness. Surveys are conducted with employees of the bank (n = 100) who experienced the transition from the conventional open-plan office with designated seats to an ABW, to understand and compare the change in employee belonging after the transition, by studying the level of belonging achieved in the space before and after.
Findings
The results showed that there was a positive sense of belongingness amongst employees working in the ABW space, as per the PAT framework and an increased sense of belongingness compared with the previous conventional open-plan office. However, ABWs were found to also have a negative effect on employees’ sense of control and security.
Originality/value
Maslow’s hierarchy of needs indicates that a feeling of belonging is fundamental to humans. The need for belonging is also applicable in the workplaces of today’s progressive corporate organisations, where there is increased pressure and incentive to appeal to and retain talent. This research was conducted in response to the huge growth in interest in activity-based working across the corporate real estate community. As there has been no prior research done in the area of the emotional need for belongingness in ABW.

Purpose
The purpose of this paper is to review the use of technologies for measuring space occupancy to guide the selection of appropriate tools for workplace post-occupancy evaluation (POE) studies. The authors focus on how actual space occupancy was measured in previous studies and the pros and cons of the different technologies and tools. This paper also addresses research gaps and directions for future research.
Design/methodology/approach
The space occupancy measures/tools are categorized based on the three types of technologies: environmental/ambient sensors, wearable sensors/smartphones and computer vision. A total of 50 studies are reviewed to identify the capabilities and limitations of these measurements.
Findings
Based on review results, the authors propose that although sensor technology can be a useful addition to the measures/tools list, a comprehensive review of the research goal, the occupants' behavior, and the environmental settings' characteristics should be conducted beforehand. Selecting appropriate technology is critical for collecting the proper behavioral data type, with a lower level of surveillance and increased validity.
Originality/value
This paper urges critical thinking about existing occupancy measures/tools across various fields, to inform the adoption and creation of new building occupancy measures. The knowledge of emerging sensor technology allows researchers to better study the temporal patterns of occupant behavior over extended periods and in a wide range of settings.

Purpose
Drawing on a user-centred design perspective, the purpose of this paper is to (i) provide an overview of three contextual user research methods, namely, spatial walkthroughs, experience curve mapping and card sorting, (ii) exemplify their applications in different case studies and (iii) compare the methods according to their contributions for the study of users’ workplace experiences. Previous workplace studies with qualitative approaches mainly rely on methods such as interviews and observations. Although these methods provide rich data, the understanding of office users, their use situations and finding more fitting workplace designs can benefit from deeper user experience insights.
Design/methodology/approach
Three methods and their variants were tested in studies of user experience in flexible offices: spatial walkthroughs, experience curve mapping and card sorting. The methods were tested during workshops and interviews in four case studies with a total of 114 participants.
Findings
Spatial walkthroughs were more immersive and provided the most insights on the actual context with respect to spatial design qualities, while experience curve mapping enabled understanding the temporal aspects of the user experience and card sorting enabled exploring user experiences with respect to predetermined spatial qualities and contextual aspects.
Originality/value
Spatial walkthroughs, experience curve mapping and card sorting methods have not previously been applied in workplace studies. They facilitate dialogue, participation and user involvement and provide insights for making evidence-based recommendations for designing or redesigning office environments that fit users’ needs and preferences.

Purpose
This paper aims to explore how users respond to office design through their use of space. Intentions for how office spaces should be used can be not only understood as sociomaterial scripts that are inscribed into the architecture by designers but also communicated through organisational change processes. The paper elaborates on how users de-script office spaces, that is, how they respond to these scripts through use.
Design/methodology/approach
The paper draws on a case study of an office design intervention in a public organisation. Taking a sociomaterial approach, the paper uses the concepts of scripting and de-scripting to analyse the data.
Findings
The findings show that users subscribe to, repair, resist or re-script design scripts. This suggests that users can enact agency in use through creative acts of appropriation. Further, both materiality and user participation play equivocal roles in user responses.
Research limitations/implications
The paper is based on a single case study where the design process was studied retrospectively. The case is regarded as typical of contemporary office design processes, but more studies that follow projects from design into use are needed.
Practical implications
This suggests that design solutions should be better adapted to the work practices instead of applying generic concepts to specific situations and that design and use should be understood as overlapping processes.
Originality/value
The originality of this study lies in linking aspects of the design process with user responses and in taking a sociomaterial approach to examine design and use.

Abstract
Activity-based workplaces (ABWs) are becoming popular in Western countries and were implemented at four office sites of a large Swedish government agency. A fifth office was used as a control group. The study aim was to examine the effects of relocation to ABW on perceived productivity among employees and to determine if perceived change-oriented leadership behavior prior to relocation moderates potential effects. Data were collected three months prior to relocation, and three and 12 months after. 407 respondents were included in linear mixed regression models. Perceived productivity decreased significantly after relocation compared to the control group and these effects persisted 12 months after the relocation. However, the decrease in perceived productivity was significantly smaller among employees perceiving high change-oriented leadership before relocation. Our results point out the importance of a change-oriented leadership behavior during the implementation to avoid productivity loss among employees when implementing ABWs.

Abstract
Background: Future places for learning and working are digitally and physically integrated hybrid environments. The archetypical context of learning is the classroom, and context of working is the office; especially in knowledge work. New information and communication technologies enable the spatial reconfiguration of work opening possibilities for work to take place across multiple locations. This paper aims to explore how the conceptual framework of design-science research in Information Systems can be applied when the design object is a hybrid working environment. Methods: The case study method as a qualitative approach was chosen; because it involves an empirical investigation of a particular contemporary phenomenon within its real life context using multiple sources of evidence. The empirical analysis of two hybrid working environments is based on Action Design Research (ADR)-entry points; where one analyzes two case studies stage by stage. By analyzing various stages in both case studies; one can identify co-designing challenges of hybrid working environments. Results: The results present four recommendations for co-designing of hybrid working environments. The use of hybrid working environment; the design of spatial solution; the identification of iterative processes; and the user experiences of presence and distance are significant. The Entry Point Analysis-tool can be used and further developed in analyzing and developing hybrid working environments. Conclusion: The results contribute to the tradition of usability studies. The usability briefing approach can be further developed by identifying the iterative processes inside the linear project management models. Additionally, design science research can find new insights from identification of the large stakeholder iterations more precisely.

Purpose
In the rise of offices designed to support activity-based working (ABW), parts of industry have fully transitioned to open-plan environments and then later to unassigned seating, whereas other parts, such as tertiary education, are still in the process of moving away from individual offices. There are a few relevant studies to understand how occupants from industry sectors with different levels of adoption of ABW perceived environments designed to support this way of working. This paper aims to contribute to the knowledge gap by providing insight into workers’ satisfaction and dissatisfaction from open-plan offices designed to support ABW along with the key predictors of perceived productivity.
Design/methodology/approach
A data set of 2,090 post-occupancy evaluation surveys conducted in five sectors – tertiary education, finance, construction, property/asset management and design/engineering – was analyzed. ANOVA and confirmatory factor analysis (CFA) were conducted for the survey questionnaires. First, ANOVA tests were conducted for the whole sample with perceived productivity as the dependent variable. A seven-point Likert scale with five theoretical factors was generated with all survey questionnaires. CFA was performed to show the factor loadings. In addition, regression analyses were carried out for each of factor item taken as the independent variable, where perceived productivity was the dependent variable. Key sources of satisfaction and dissatisfaction per sector were analyzed and differences between occupants reporting a negative or positive impact on their productivity were also investigated. Finally, open-ended comments were analyzed to show the key sources of dissatisfaction based on open-ended comments.
Findings
Workers from construction were the most satisfied, followed by finance and tertiary education. Occupants from all industry sectors consistently rated their workspaces highly on biophilic and interior design. Distraction and privacy received the lowest scores from all sectors. Open-ended comments showed mismatches between spatial and behavioral dimensions of ABW both for satisfaction and perceived productivity. Interior design was the strongest predictor for perceived productivity for all sectors. Findings dispel the notion that ABW implementation may not be suitable for certain industries, as long as the three key pillars of ABW are fully implemented, including design, behavior and technology.
Originality/value
This paper provides insight into workers’ satisfaction and dissatisfaction from open-plan offices designed to support ABW in different industry sectors along with the key predictors of perceived productivity.

Purpose
From poor indoor environmental quality conditions to musculoskeletal discomfort, the interior design of workspaces has the potential to negatively affect human health. One of the key responses from industry has been the rise of health-related guidelines, certification and rating tools. Despite the rapid adoption of such tools by the Australian high-end corporate real estate, there is a scarcity of empirical evidence arising from such premises. This study aims to compare results from certified premises against other open-plan offices to understand differences arising from occupants’ satisfaction, perceived productivity and health.
Design/methodology/approach
A total of 1,121 post-occupancy evaluation (POE) surveys conducted in 9 offices were analyzed. All these premises hold a certification from the Green Building Council of Australia and two achieved a WELL rating. The analysis is performed in three parts: comparing WELL-certified (2 cases) and non-WELL certified (7 cases) offices along with comparison with a benchmark of 9,794 POE surveys from the BOSSA database, comparing activity-based working (ABW) (5 cases) and traditional (4 cases) offices along with comparison with BOSSA database and qualitative study of the similar design features in all 9 offices accompanied with an in-depth analysis of the health-related issues that might have occurred because of poor ergonomic design. For the first two parts, several t-tests are performed.
Findings
Highest scores for overall satisfaction, workability, perceived productivity and health were reported on WELL-rated premises. Offices incorporating active design principles outperformed others on workability, satisfaction with work area, collaboration, unwanted interruptions, perceived productivity and health. ABW environments outperformed the traditional offices on spatial comfort, thermal comfort, noise and privacy, personal control, comfort of furnishing, adjustability of the work area and space to collaborate. People using sit–stand workstations reported spending significantly less time seated and female workers were more prone to reporting pain over the past 12 months. The best-performing offices implemented active and biophilic design, prioritized overall ergonomics and different spaces designed to support a variety of work-related activities.
Originality/value
This research conducts a comparison between certified premises against other offices in terms of occupants’ satisfaction, perceived productivity and health. A qualitative analysis is also conducted to investigate personal and physical environmental aspects. The way of working (ABW or traditional), implementation of active design features, self-reported musculoskeletal discomfort and physical activity were also investigated. The study has taken a holistic approach to investigate many health-related physical, environmental and emotional aspects in certified workspaces.

Abstract
Purpose
This paper aims to explore, which characteristics of activity-based offices are related to the position of workers on the burnout – engagement continuum.
Design/methodology/approach
Literature review and an online survey amongst knowledge workers in the Netherlands, which provided data of 184 respondents from 14 organisations. The data has been analysed by descriptive statistics, bivariate analyses, factor analyses and path analysis, to test the conceptual model.
Findings
Five physical work environment constructs were identified of which three showed to have significant relations with employees’ position on one of the three dimensions of the burnout – engagement continuum. Distraction has a direct and indirect (through overload) negative relation with the individual strain (meaning increased exhaustion). Office comfort has indirect positive relations (through recognition and appreciation) with the interpersonal strain (meaning increased involvement). The possibility for teleworking has an indirect positive relation (through control) on the self-evaluation strain (meaning increased efficacy).
Practical implications
The findings show that in the design and management of a healthy physical work environment, corporate real estate managers and human resource managers should particularly pay attention to lowering distraction, providing comfortable workplaces and considering the option of teleworking to some extent.
Originality/value
This paper provides new insights into the impact of distinct activity-based workplace characteristics on workers’ position on the burnout – engagement continuum.

Purpose
This paper aims to propose a theoretical framework for workplace research based on sociomateriality. Sociomateriality is a theory to explain the effects of social practice and materiality in an organization. Workplace studies in facility management (FM) can adopt this theory to understand the complex relationships between physical work environments and human factors.
Design/methodology/approach
Review of sociomateriality was conducted to understand the connection to existing workplace studies in FM. This study addresses the components of the workplace through the sociomateriality perspective.
Findings
The main focuses in sociomateriality theory are materiality and social practice. For workplace concepts specifically in FM, workplaces and their components are a material agency, and work and workers are a social practice agency. By considering both materiality and sociality in workplace environments, researchers can understand office dynamics and interrelationships. Lastly, two statistical analysis methods are suggested to analyze the framework: structural equation modeling and multilevel analysis.
Originality/value
To understand the human–environment relationship, it is essential to consider both materiality and social practice perspectives simultaneously. The proposed framework can be a foundation to explain the complex interactions between the physical environment and human factors of workers in individual organizations.

Abstract
Purpose
This study aims to investigate the performance of open-plan office layouts and to identify occupants’ concerns in existing open-plan office layouts.
Design/methodology/approach
Workplace activity questionnaire (WAQ) was administered in the form of an online survey in March 2019, as part of a design briefing process for the expansion of the office facilities located in Bangalore, India, for a Fortune 100 software technology company. A total of 4,810 questionnaires were distributed and 3,877 responses were received (80.6% response rate). After that, 849 incomplete responses were eliminated from the analysis, resulting in a final sample size of 3,028. The questionnaire included 11 key activities conducted by the office workers and established the gap between the workers’ perceived importance and support from their existing facilities using a five-point Likert scale.
Findings
The findings of this study provide strong evidence that different physical environments influence the satisfaction of occupants. An improvement of the facilities, especially by enabling areas for quiet working, should be prioritized in relation to the other activities surveyed. Also, office workers perceived significantly different support levels for quiet working depending on their department, while there was no significant difference between the workers of different buildings.
Research limitations/implications
Individual demographic information was not collected because of the possibility of personal identification. There was also a lack of objective environmental measures, such as temperature and noise level. Thus, the quality of indoor environments was unknown. In this study, some respondents mentioned dissatisfaction with indoor environmental quality, including noise, temperature and air quality in their comments.
Originality/value
In the programming stage of a workplace design process, the WAQ survey tool has value because it renders important insight into the perception of a live workplace, which can then be used to determine priorities for a design effort. It clearly identifies the areas to focus on, ask questions about and develop improvements. Validating its reliability will enhance its credibility and confidence in its use. In addition, the large sample size provides statistical advantages in the data analysis, providing a higher likelihood to find a true positive of the findings of the study. Also, having a relatively high response rate provides an advantage of mitigating the risk of having non-response bias in the analysis.

Abstract
Over the past few decades many corporate organisations have moved to open-plan office designs, mostly due to financial and logistical benefits. However, recent studies have found significant drawbacks to open plan offices and it is unclear how office designs can facilitate the best work output and company culture. Current design practice aims to optimise efficiency of space, but no previous research has tested the effect of office design experimentally in a working office. This paper describes an experiment comparing four different office designs (Open-plan, Zoned open-plan, Activity based, and Team offices) against a suite of wellbeing and productivity metrics in a real world technology company. Results suggest that two very different designs (Zoned open-plan and Team offices) perform well compared to Open-plan office designs. Zoned open-plan and Team office designs improved employee satisfaction, enjoyment, flow, and productivity, while Activity based and Open-plan designs performed poorly by comparison. The Open-plan office design was rated more poorly by employees, had higher levels of unsafe noise, and once employees no longer had to be in the Open-plan office design of the experiment, they spent more time at their desks.

Abstract
Environmental criteria have become a critical issue for the evaluation of projects and products, particularly for businesses with extensive life cycles. Sustainability criteria and project risk management are underexplored in real estate development, and thus endanger business survival. The aim of this article is to improve the understanding of uncertainties in the real estate industry by using a stochastic risk assessment approach and to broaden the risk assessment methodology. Thus, this article investigates the importance of material selection regarding external and project risk for real estate development. Aside from conventional projects, risks are analyzed for projects with high-quality materials (HQMs) that are characterized by environmental benefits. In following a mixed method approach, we began by conducting interviews with developers about the most important risks, and later incorporating these factors into a stochastic cash-flow model. Finally, we illustrated our findings in a case study. Overall, the highest risks were shown from resource prices and changing regulations, while the rankings of the two materials differ slightly; HQMs rank higher on the created risk index than conventional materials. The cash-flow model shows that conventional materials perform slightly better than HQMs, although uncertainties within the calculations are similar. The article contributes to risk management and decision-making for real estate projects by providing insights into the discussion and analysis of the financial performance of sustainable construction material and design that might be crucial for disruptive innovations. We present a model that integrates environmental and long-term effects in the cash-flow evaluation of real estate projects, thereby increasing managerial flexibility.

Abstract
Activity-based Flexible Offices (AFOs) are innovations in workspace design that are being increasingly implemented in organisations. While most studies investigate satisfaction and perceived work support in AFOs, employees' workspace preferences are not addressed in the literature. The aims of this study were to (i) identify workspace preferences and non-preferences in AFOs, and (ii) investigate whether employees' workstation choices support their activities and align with their preferences. Two Swedish municipalities participated in the study. Data collection involved 27 semi-structured interviews and annotations on architectural drawings. The results showed that the interviewees preferred workstations that were both desirable and functional, and avoided workstations that were undesirable. This was due to functional, social, emotional and symbolic aspects of the workspaces as well as their physical structure and stimuli. The approach used in this paper can be adopted for improving the design of AFOs, thereby mitigating the stress of finding a suitable workstation.

Abstract
Purpose
This paper aims to study a change process on a university campus from a pedagogical perspective. The aim of the process, as expressed by facilities management and faculty leadership, was to create campus learning landscapes that promote social encounters and learning between students and researchers, as well as other embedded groups. The paper addresses how pedagogical needs are or should be integrated in the design process.
Design/methodology/approach
The data of this case study regarding change on campus consist of semi-structured interviews of information-rich key stakeholders identified using snowball sampling method. The interviews were analysed to find common themes and reference to pedagogical needs and expectations.
Findings
Campus usability and reliability are improved when pedagogy informs the design, and needs such as sense of belonging (human) and connectivity (digital) are fulfilled. User-centred design should be followed through during the whole campus change process, and there should be sufficient communications between user groups.
Research limitations/implications
The discussion is based on one case. However, the recommendations are solid and also reflected in other related research literature regarding campus change initiatives.
Practical implications
The paper states recommendations for including pedagogical needs in campus learning landscape change and underlines the role of real user-centred processes in reaching this goal.
Originality/value
The study introduces the concept of campus reliability and highlights a missing link from many campus change cases – pedagogy – which is suggested to be essential in informing campus designs that produce usable and reliable future-ready outcomes.

Abstract
Purpose
The purpose of this paper is to further explore the relationship between new product development project teams and their workspace regarding the impact of the physical (space variety, indoor environmental quality, large meeting room, workstation) and sociotechnical environments (project commitment, IT environment) on their creativity and effectiveness.
Design/methodology/approach
The authors gathered data on an enterprise’s ten multidisciplinary teams operating in diverse workspaces by four means: over 40 interviews and four months of observation, secondary data and a survey with 645 responses.
Findings
For teams co-located on site and abroad, employees express that proximity in open space is paramount even considering the augmented density. The relationship between team effectiveness and team creativity is strong and bidirectional (correlationβ = 0.40****), but the patterns of relationship between these two variables and certain dimensions of the physical and sociotechnical environment are different. There is a positive and direct impact on team effectiveness, but to a lesser degree on creativity which, in turn, positively influences team effectiveness. Moreover, creativity intervenes (mediator variable) between project commitment, satisfaction with large meeting rooms and the IT environment on their relationship with team effectiveness. When the authors added a direct link between the variables and team effectiveness, the model explains 47.1 per cent of the variance.
Research limitations/implications
The scope of the data is somewhat limited by the time that the company and its teams could allocate to this paper.
Practical implications
The arrangement of space reinforces employees’ sense of belonging to their team as measured by project commitment which along with satisfaction with the large meeting rooms and IT environment influence both team effectiveness and creativity. Managers could consider these three elements as levers for action. Space variety (or balanced layout) is also a way to support team creativity.
Originality/value
Even if open spaces are frequently used, the literature on creative spaces is dedicated mainly to an individual. This paper delivers some results and evidence on the concrete and simultaneous impacts of the workspaces on creativity and effectiveness of multidisciplinary new product development (NPD) team.

Abstract
Purpose
This paper aims to identify the employee characteristics which are most strongly associated with perceived requirements for different aspects of the workplace environment.
Design/methodology/approach
A questionnaire was completed by 364 employees from a large private-sector organisation. Respondents were surveyed on different work-related, personality and demographic characteristics. They then completed a series of items measuring perceived requirements for four aspects of the workplace environment (workspace segregation, workspace territoriality, individual environmental control and aesthetic quality). Associations between employee characteristics and perceived workplace requirements were explored using multiple regression analyses.
Findings
Numerous significant associations emerged. For example, the requirement for more segregated workspaces was associated with higher susceptibility to distraction, and the requirement for higher workspace territoriality was associated with less positive perceptions regarding the impact of flexible working on work effectiveness.
Originality/value
The individual difference factors which moderate satisfaction with the workplace environment have received relatively little attention in past research. The present study addresses this knowledge gap by including a wider range of employee characteristics and comprehensively investigating which of these most strongly predict differences in perceived requirements for the workplace.

Abstract
PurposeThe purpose of this paper is to identify and discuss opportunities for health promotion through the workplace environment, adopting a “salutogenic” perspective of health which more explicitly focuses on factors that support human health and well-being, as opposed to factors which cause disease.Design/methodology/approachIn the introduction, the salutogenic model of health and the Environmental Demands-Resources model are discussed, providing a conceptual framework to represent the workplace environment as a composite of pathogenic “demands” and salutogenic “resources”. Subsequently, a narrative review is performed to discuss the existing literature from the perspective of this novel framework, identifying environmental resources which might strengthen the three components of an employee’s “sense of coherence” (comprehensibility, manageability and meaningfulness), an individual orientation associated with more positive health outcomes.FindingsComprehensibility can be supported by effectively implementing a clear set of rules governing the use of the workplace. Manageability can be supported through biophilic design solutions, and through design which supports social cohesion and physical activity. Meaningfulness can be supported by recognising the importance of personal identity expression and through design which reinforces the employees’ sense of purpose.Originality/valueThe salutogenic perspective is a potentially valuable but relatively under-considered paradigm in workplace practice. The key contribution of this paper is to encourage researchers and practitioners to recognise the crucial role that an individual’s sense of coherence plays in supporting higher levels of physical and mental health, so that they increase their ability to provide truly “healthy” workplaces, capable of promoting health as well as minimising the risk of disease.

Abstract
Activity-based Flexible Offices (A-FOs) are offices with unassigned desks that provide a variety of workspaces. This paper presents desk-sharing and speech rules identified in A-FOs in four Swedish organisations, the emergence of and compliance with these rules, and their consequences for work conditions. Data collection involved 105 semi-structured interviews, document analyses, and observations. The identified rules were: (1) to remove belongings, (2) temporal restrictions on using the same workstations, (3) temporal restrictions on using scarce zones, (4) restrictions on verbal interactions, and (5) restrictions on phone conversations. The cases with extensive user involvement in their planning process had explicit unambiguous rules. A better compliance with rules occurred when (i) the employees were well-prepared and had a unified understanding regarding how and why to follow the rules, (ii) the rules were explicitly communicated and were regarded as easy to follow, and (iii) following the rules facilitated work and improved work conditions. Practitioner summary: Five rules were identified for applying desk-sharing and speech policies in A-FOs. Extensive user involvement resulted in having well-defined and explicitly communicated rules, and prepared employees for how to use the A-FO. Implicit and ambiguous rules led to conflicting interpretations, disregarding rules, and were associated with more negative work conditions.

Abstract
PurposeThere is an increased interest for introducing activity-based offices at universities. The purpose of this study is to contribute to the knowledge about the importance of the built environment for the psychosocial work environment within academia by analyzing how staff at a large Swedish university experienced the physical and psychosocial work environment before and after moving to activity-based offices.Design/methodology/approachA Web-based survey was distributed to all employees at two faculties at a university three months before (2015,n= 217, response rate 51 per cent) and nine months after (2016,n= 200, response rate 47 per cent) relocation to a new activity-based university building.FindingsIn the new premises, a vast majority (86 per cent) always occupied the same place when possible, and worked also more often from home. The social community at work had declined and social support from colleagues and supervisors was perceived to have decreased. The participants reported a lower job satisfaction after the relocation and were more likely to seek new jobs. No aspects in the physical or psychosocial work environment were found to have improved after the relocation.Research/limitations implicationsThe study had a two-wave cross-sectional design, which does not allow establishing causal relations.Practical implicationsThere is reason to be cautious about relocation to activity-based offices at universities. The potential savings in costs for premises may lead to may be followed by an increase in other costs. The risk that staff cannot concentrate on their work in activity-based university workplaces and lose their sense of community with colleagues are factors, which in the long run may lead to decreased efficiency, more conflicts and poorer well-being.Originality/valueThis paper contributes with new knowledge concerning changes in the physical and psychosocial work environment when relocating from cell offices to activity-based offices in a university setting.

Abstract
This three-wave longitudinal interview study (time lag: 12 and 18 months) investigates the impact of working in an activity-based flexible office (A-FO) on processes within and across teams (i.e., communication, trust, cohesion, and collaboration) and team management. Based on a new theoretical framework on benefits and risks of A-FOs (A-FO-M; Wohlers and Hertel, 2017), we conducted interviews with 25 employees of an in-house training institute who recently switched from single cell or shared offices to an A-FO. The A-FO consisted of a main open-layout environment without assigned workstations and provided additional working zones appropriate for specific work activities. According to the A-FO-M, A-FO features are expected to alter visibility and proximity of employees compared to office environments with assigned workstations. Altered visibility and proximity, in turn, should be related to team processes, such as communication. The interview material was analyzed using qualitative content analysis. This textual analysis procedure revealed that the interviewees reported that inter-team collaboration improved while working in the A-FO. Reasons that were mentioned for this positive effect were more contact, communication, collaboration possibilities (joint project work), and trusting relationships. However, interviewees also reported negative effects, such as that teamwork suffered due to less communication and cooperation. Along with that, especially ensuring team cohesion and communication among team partners were the most often mentioned challenges for management since team members were spatially dispersed within the office building. Theoretical and practical implications, such as assigning additional team areas to support teamwork, as well as recommendations for future research are discussed.

Abstract
Satisfaction with activity-based work environments (ABW environments) often falls short of expectations, with striking differences among individual workers. A better understanding of these differences may provide clues for optimising satisfaction with ABW environments and associated organisational outcomes. The current study was designed to examine how specific psychological needs, job characteristics, and demographic variables relate to satisfaction with ABW environments. Survey data collected at seven organizations in the Netherlands (N = 551) were examined using correlation and regression analyses. Significant correlates of satisfaction with ABW environments were found: need for relatedness (positive), need for privacy (negative), job autonomy (positive), social interaction (positive), internal mobility (positive), and age (negative). Need for privacy appeared to be a powerful predictor of individual differences in satisfaction with ABW environments. These findings underline the importance of providing work environments that allow for different work styles, in alignment with different psychological need strengths, job characteristics, and demographic variables. Improving privacy, especially for older workers and for workers high in need for privacy, seems key to optimizing satisfaction with ABW environments.

Abstract
Purpose
The purpose of this paper is to investigate the social impacts of short-distance office relocation that also involved a new way of working, as perceived by employees during a relocation process. Relocation is any process of moving business premises and can consist of (often) significant change in locality, building change, workplace change and ways of working. This case study was not influenced by the effect of locality change making it hence a short-distance relocation.
Design/methodology/approach
The social impacts are analysed based on the perceptions of approximately 15 per cent (nine employees) of the case organization across the relocation process – two months before, one week before and four months after the move. The qualitative data collection is conducted by semi-structured interviews, supplemented by diaries and participatory action research.
Findings
Before the relocation, the subject organization’s old premises were considered inadequate. Still, employees had concerns during the process about the new open office environment including the adoption of new ways of working. Some employees did experience resistance towards the change, although the amount of engagement possibilities was deemed sufficient and engagement recognized as an important part of the process. After the relocation, adaptation was considered easier than originally anticipated and experiences of improved inter-team collaboration were reported by most while others experienced just the opposite, pointing out to emerging individual differences.
Research limitations/implications
The limitations of this study arise mainly from the ability to statistically generalize on the basis of a single case study which this paper represents. Furthermore, since the last interviews were made four months after the move, all post-occupancy implications were possibly not yet fully experienced.
Originality/value
The paper provides information on the social impacts of organizational relocation process, as it identifies individual employee perceptions during a relocation process where locality change is minimal. Moreover, the threefold research approach across the relocation process enables the appearance of possible time-dependent development of adaptation to change in employee perceptions and these perceptions to be analysed in more detail.

Abstract
Purpose
The purpose of this paper is to present the results of a qualitative study concerning managers’ and employees’ rhetorical evaluations of a spatial organizational change.
Design/methodology/approach
The approach of rhetorical social psychology is applied to study how the actors of an organization speak about a transformation from a single-room office setting to an open, multi-space office. The material consists of 36 interviews.
Findings
It was found that the responsible managers and employees used contradictory argumentation of what “real work” is like and what the change will result in as rhetorical resources when supporting and contesting the transformation. Although their set of arguments and counter-arguments drew from the same beliefs and values, they were used for opposite purposes.
Practical implications
The results of this research advance awareness of the multidimensional and contradictory nature of change rhetoric and this understanding can be utilized in supporting more effective change programs. For example, instead of constructing unnecessary polarizations between those who resist change and its supporters, the study facilitates to identify the ambiguity of argumentation related to change and the differing symbolic meanings subscribed to.
Originality/value
The study contributes to the organizational change literature by showing the ambiguity of change rhetoric and the contradictory nature of argumentation, both within the talk of specific employee groups and between groups.
